My Multimedia Playlists

Creating multimedia playlists is a multi-step process of choosing a channel & subsite location, naming a playlist and defining its attributes, then adding playlist members. You can create multimedia playlists in CommonSpot using files stored on Brightcove or YouTube servers, for services enabled for your site. Local services do not support playlists.

Access this dialog from My Content to create new playlists, to view, copy, edit, or delete playlists that you own, or to view or change metadata or other playlist attributes.

To view items for which you are the owner, set filtering and ordering criteria, including which subsite levels to include and date restrictions.The defaults for these options are set through Site Administration - Properties and Settings - Report Settings. See Report Settings in the Administrator's Reference.

You can filter using the following options. Make your selections, then click the Filter button to apply and display items that meet your criteria.

• Subsite - Select from the dropdown, or click the subsite search icon . Optionally check Include Child Subsites to search the selected subsite and all the subsites it contains. Leave this unchecked to search the selected subsite only.
• Date Restrictions - Select from the dropdown:
  • None (initial default) - Use no date filters.
  • Last modification date - The last time content was changed.
  • Last major modification date - The last time content was changed with the setting Treat change as significant, an organization-configurable option that has no effect on CommonSpot versioning.
  • Creation date - Search by the date content was first created.
  • Publication date - Search by the date content was published.
  • Expiration date - Search by the date content expired.

    Once you set a date restriction, you can further refine your search with options in the second date field. Picking a date restriction for past events displays past options only. Optionally pick from the options below:

    

• Owner - Select from the dropdown:
  • Me - Displays only items that you own.
  • Me or My Groups - Default. Displays items that belong to you or your groups (that is, groups in which you are a member).
  • My Groups - Displays items that belong to your groups, but excludes pages that only you own.
  • Custom - Displays the Select Owner dialog for choosing which group(s) to use for filtering items. Select one or more.

Use Select Date Options to set the date that displays in the Date column. (Use the Date Restrictions search criteria to constrain results by specific dates.) Pick from the dropdown. A green checkmark indicates the current filter. Optionally choose from the following:

• Creation Date – Filters results based on the date created.
• Publication Date - Filters results based on release for publication.
• Expiration Date - Filters results based on the date content expires.
• Last Modification Date – Filters results based on the date of last change.
• Last Major Modification Date - Filters results based on the date of last major change. This is an organization-defined option set by treat change as significant during updates, which has no effect on CommonSpot versioning.

Click to sort by column head.

Date defaults to the order specified in Select Date Options setting.

Icons in the second columns identify these multimedia services. You may have all or one configured for your site:

YouTube

Local multimedia

Mouseover an item in the Playlist Title to view playlist members.

This icon identifies video or multimedia playlists in CommonSpot.

The State column indicates status for each playlist in this report:

Indicates the playlist is active and contains member files. Click the Members link to view or change members.

Indicates the playlist contains no member files. Click the Members link to add files.

Indicates there is a system problem preventing playback for this playlist. Check with the video sharing service for the status of member files or service.

This column also includes user or group ownership status. Mouseover to view owner details.

The Subsite column displays the subsite location of the uploaded playlist.

Members lists the files in the playlist. Click to view or add files to the playlist. This link is inactive if state is unavailable .

In the Actions column, clicking the Metadata & Security icon displays the following options.

• Standard Properties, Custom Properties: Displays standard metadata defined for the multimedia file and custom metadata, if any.
• Multimedia Playlist Details: Displays channel, creation, and update information for the selected playlist.  See Multimedia Details.
• Security – Displays the Security dialog for viewing or changing permissions for this video or playlist. Options displayed to authors derive from administrative settings.
• My Tags: Displays any personal tags associated with the page, template, or uploaded file. See My Tags in the Contributor's Reference.
• Upload New Version: Click to replace the current version of the multimedia file with a newer version.

Clicking the More Actions icon displays the following options. Options are available on the basis of your rights to the CommonSpot media object. For example, users without admin rights cannot change ownership.

• Create Freshness Reminder – Allows the current user to create a tickler to update the current playlist.
• Create Work Request – Submit a work request for this playlist.
• Change Owner – Define a new user or group owner for this or playlist.
• View Referring Pages - View a list of pages with links to this file or playlist and optionally change link references.
• Manage Freshness Reminders – View, add, and remove ticklers for playlist updates.
• Manage Work Requests – View, add, and remove work requests for this playlist.
• Manage Contacts - Review contributors and email addresses associated with the selected playlist.
• Manage Notes - View any notes associated with the selected playlist.

Remove individual items by clicking the associated delete icon , or select multiple items, click Delete Selected from the More Actions dropdown, then click Go. CommonSpot confirms deletion to enable you to manage any links to this playlist. You can optionally Select/Deselect all.

Click Create New Playlist to begin the process of creating a new collection of videos or multimedia files.
